How Each Tool Works and Our Recommendation

Botdoc Connect provides several easy ways for dealership staff to capture customer information and send it directly into the CRM. These tools all perform the same core function. They simply offer different ways for the customer (or salesperson) to start the intake process. This gives your team flexibility and makes it easier to meet the customer where they already are.

Available Intake Options:

1. In-Store QR Codes

Physical QR codes can be placed in the showroom, finance office, or sales desks.
Customers scan the code with their phone and complete the process, which sends their information directly to the CRM.

2. Short URLs (DOX)

A simple text replacement with a link that staff can text or email to a customer.
This is ideal when working remotely, following up with online leads, or assisting customers who prefer not to scan a QR code.

3. Phone Wallet QR Codes

A personalized QR code is saved inside the employee’s mobile wallet.
Staff can show the code to customers in person for quick scanning or use it at events, test drives, or off-site interactions.

4. CRM Email and SMS Templates

Prebuilt templates with embedded links.
Staff can send an email or text directly from the CRM, and the customer’s info goes straight back into the system through Botdoc Connect.

5. RFID Cards

Employees can have customers tap an RFID card on a compatible device to launch their intake link.

Important Reminder:

All of these options do the same thing. They help the customer start the intake process and push their information into the CRM through Botdoc Connect. The value is consistency. Staff do not need to use every tool. They only need one method they are comfortable with.

Our Recommendation

We encourage each employee to choose one intake path and use it daily. Pick the option that fits your workflow, your role, and your comfort level.

Here is a simple guideline:

  • If you work mostly face-to-face, use the in-store QR code or your phone wallet QR code.

  • If you work remotely or spend time on follow-ups, use the DOX URL or CRM templates.

  • If your workflow is fast and hands-on, use the RFID card.

When you select one method and commit to it, it becomes second nature. This speeds up your workflow, reduces errors, and ensures your customer data enters the CRM every time.
